What costs construction firms money

During the job

  • The diary is written from memory in the evening, on paper — or not at all. A building authority inspection can mean a fine up to €20,000.
  • Site photos live on five different phones. When you need them for an invoice or a claim, nobody can find them.
  • The site manager leaves — and takes the notes, subcontractor contacts and the real work status with them.

After handover

  • The client claims a defect. Without photo documentation from handover it's your word against theirs — and you pay.
  • The client wants the diary in machine-readable form, as the law expects. You have a binder full of paper.
  • Handing over photos on a USB stick doesn't look like a professional firm. Your competitors already send a link.

How it works

Three steps from the first photo to a handed-over job.

1

The crew shoots and logs

Right on site, even with no signal. Photos and entries are saved to the right job and room — with date, author and everything that belongs to the record.

2

Homeborn organizes everything

Entries line up into the electronic construction diary, defects into the punch list, documents into the job. As soon as the crew is online, everything syncs.

3

Hand over and archive

The client gets a handover gallery via a single link, the building authority gets a PDF export structured per the law, and the firm keeps a ZIP archive of the whole job.

An AI assistant that knows every detail of the job

Upload the documentation — plans, contracts, structural calculations. AI reads every page. The site manager asks right from the site and gets a precise answer with the page number.

Architect (in the office)
We changed the living room floor from laminate to vinyl. Log it.
Homeborn AI
Change recorded for living room: floor laminate → vinyl. Next time I'll respond based on the current state.

Site manager (on site, 10 minutes later)
What floor do we have in the living room?
Homeborn AI
Vinyl. Originally laminate, changed today. See change order.
Source: Change order — living room
What this eliminates: Rewriting PDFs, sending messages "we changed the floor, tell everyone", tracking who knew about the change and who didn't.
Site manager
What lintel goes above the garage door and what's the load capacity?
Homeborn AI
Steel profile IPE 240, grade S235. Span 3,750 mm, capacity 28.5 kN/m. Min. bearing 200 mm on RC ring beam. Apply R30 fire protection coating.
Source: Structural calculation.pdf — page 22 · Ceiling plan.pdf — detail D4
Why this matters: AI searches structural calculations, technical reports and drawings simultaneously. Answer in 5 seconds instead of 20 minutes of flipping through documents.
Site manager
There's a cracked tile in the 2nd floor bathroom near the shower. Log the defect.
Homeborn AI
Defect recorded: cracked tile, 2nd floor bathroom. Want to add a photo and assign a contractor?
Source: Saved to defect log — 2nd floor bathroom

Stop flipping through documents on site. Your crew asks in plain language — AI finds the exact material type, dimension or subcontractor contact. Always with a page number.

Why firms use Homeborn

Five things that turn job documentation into a competitive advantage.

📷

Site photos from your phone

One tap right on site. The photo lands on the right job and room, with date and author. No collecting photos from five phones at the end of the month.

📝

Electronic construction diary

Daily mobile entries line up into a diary with output structured per Act No. 283/2021 Coll. and Annex No. 12 of Decree No. 131/2024 Coll. No paperwork.

🔍

Defect tracking (punch list)

Photograph the defect, assign a tradesman — they get a notification with the photo and description. You see what's fixed, and keep proof for handover and claims.

🤝

Client handover gallery

Instead of a USB stick, send your client a single link: a professional gallery of the build's progress, including defects fixed before handover. A business card that sells the next job.

📦

PDF and ZIP export

Complete job documentation in one click — a PDF diary for the building authority, a ZIP archive for the firm and the client.

Everything for job documentation

From site takeover to handing over the finished work.

A construction diary that follows the new Czech Building Act

The new Building Act has applied since July 1, 2024. For public procurement builds it expects an electronic diary — Homeborn is built for it.

⚖️

Output structured per the Act

The construction diary export is structured per Act No. 283/2021 Coll. and Annex No. 12 of Decree No. 131/2024 Coll. — build identification, daily records and signature fields. For public procurement builds the Act expects the electronic form.

💾

Machine-readable format

Export the diary as PDF and in machine-readable form (HTML, ZIP) — ready to hand over to the client after completion and for building authority inspection.

📝

Daily records straight from the site

Every entry has a date, author, photos and notes. The site manager writes on the phone right on site — no rewriting paper notes in the office in the evening.

🔒

Archiving and data ownership

Records stay accessible after the build is finished — the law expects 10-year availability. The firm can download the entire job archive at any time. No lock-in.

Homeborn is a documentation tool. Always verify the exact obligations for your build with the building authority or an authorized site manager.

Frequently asked questions from construction firms

Does a construction firm have to keep an electronic construction diary?
The Czech Building Act No. 283/2021 Coll. requires a construction diary for builds that need a permit. For builds that are public procurement contracts, the Act expects the diary to be kept electronically. Homeborn keeps the diary electronically with output structured per Annex No. 12 of Decree No. 131/2024 Coll. Verify the exact obligations for your build with the building authority.
What happens to the diary after the build is finished?
The contractor hands the diary over to the client — for an electronically kept diary in machine-readable form. The law also expects the records to remain accessible for 10 years. From Homeborn you export the diary as PDF and machine-readable HTML/ZIP, and you can download the entire job archive at any time.
How does the client handover work?
At the end of the job you generate a handover gallery and send the client a single link. The client doesn't need to register — they see the build's progress month by month, statistics and the defects fixed before handover. You control the link's validity and what the client sees.
How many people from the crew can work in the app?
The Firm plan includes 5 users, each extra seat costs €4 per month. The Profi plan has up to 3 users. You can also share defects with tradesmen without their own account — they get a notification with a photo and a description of what to fix.
How fast can our crew get started?
Signup takes 2 minutes, no implementation or training. The site manager installs the app, creates a job, and the first photo is in the diary within five minutes. The office works in the web version at my.homeborn.app — same account, same data.
Who owns the data? What if we want to leave?
The data belongs to your firm. You can download the complete archive of all jobs as PDF, ZIP or HTML at any time — no lock-in, no notice periods. You can leave whenever you want, with your data.
Does the app work offline, on a site with no signal?
Yes. Diary entries, photos and defects can be recorded without an internet connection — as soon as the phone is back online, everything syncs to the whole crew automatically.
Is the firm's data safe?
Data is encrypted and stored in the EU. We don't share your documents with anyone and AI only searches your files. The client sees only what you choose to share.
What does a construction diary have to contain?
Identification of the build and the people involved, plus regular daily records of the work. For electronically kept diaries the structure is defined by Annex No. 12 of Decree No. 131/2024 Coll. — Homeborn's export follows this structure, including signature fields.
